Board Position Descriptions

Santa’s Workshop board members play a vital role in ensuring our organization serves military families with dignity, efficiency, and care. Board positions require consistency, communication, and a commitment to active participation throughout the year, with increased responsibility during peak season.

President

Provides overall leadership and strategic direction for Santa’s Workshop. Oversees board operations, presides over meetings, ensures mission alignment, and serves as the primary point of contact with community and military partners.

Vice President

Supports the President and assists with oversight of board operations. Steps in as needed to ensure continuity, helps coordinate committees, and supports major initiatives and events.

Secretary

Maintains official records, meeting minutes, and board documentation. Ensures accurate recordkeeping, manages correspondence as needed, and supports organizational compliance.

Treasurer

Oversees financial management of Santa’s Workshop. Tracks income and expenses, maintains financial records, prepares reports, and ensures fiscal responsibility in accordance with nonprofit standards.

Parliamentarian

Ensures board meetings and actions follow established bylaws and parliamentary procedure. Provides guidance on governance, elections, and policy compliance.

Applications 

Manages the family application process from start to finish. Oversees application windows, verifies information, coordinates approvals/denials, communicates with applicants and units, and maintains accurate application tracking.

This is a high-commitment role, especially during application season. *High Commitment Role

Toy Buyers

Responsible for purchasing toys and gifts within approved budgets. Works closely with Inventory and Applications teams to ensure age-appropriate, equitable distribution of gifts. Peak workload occurs during the shopping and preparation season. *High Commitment Role

Inventory 

Oversees organization, tracking, and storage of all donated and purchased items. Manages inventory flow before, during, and after shop operations to ensure accuracy and efficiency. *High Commitment Role

Volunteer Coordinator

Recruits, schedules, and communicates with volunteers. Ensures adequate volunteer coverage for events and shop days and serves as a primary point of contact for volunteer needs.

Hospitality 

Coordinates refreshments, hospitality needs, and volunteer appreciation efforts. Helps create a welcoming environment for volunteers, partners, and families during events.

Publicity 

Manages marketing, communications, and public awareness efforts. Oversees social media content, promotional materials, and messaging to support events, applications, and fundraising initiatives.
